ATHLETICS PROGRAM SPECIALIST
12 month/year; 40 hours/week

BASIC FUNCTION:
Under direction of the program director, provides administrative assistance and office support for Athletics including serving as a liaison between the director and coaches, faculty, staff, students, and the public; coordinates and performs specialized program tasks; provides budget and other recordkeeping and reporting.

REPRESENTATIVE DUTIES:
Assists with administrative matters; independently performs a wide variety of duties which support the functions assigned to the director; plans, schedules and provides office support for Athletics; recommends new and revised office procedures as appropriate.

Receives and screens visitors and telephone calls, refers to others as appropriate; provides frequent and responsible contact with coaches, faculty, staff, students, and/or the public; establishes and maintains positive staff and public relations; works confidentially with discretion.

Provides information and assistance regarding program policies, procedures, rules and regulations; resolves questions and issues; prepares and processes forms and documents, including student injury reports.

Coordinates and maintains a comprehensive student-athlete database using FileMaker Pro and other computerized records; verifies and records data and information; merges data on the websites for the college and the California Community College Athletic Association; prepares and distributes eligibility and other reports, documents, forms, etc., to a variety of programs, individuals and agencies.

Updates intercollegiate athletic information the college website using computerized records and other sources, including department information, game and event schedules, intercollegiate team rosters, student-athlete stats, etc.

Assists in planning events such as the Athletic Academic Awards ceremony, alumni events, fundraising activities and the annual Hall of Fame.

Coordinates organizational details of intercollegiate events and provides related recordkeeping such as game and field passes, admission fee postings, gate deposits, securing officials, team physicians, ambulance and law enforcement, etc.

Assists with budget development for all budgets related to Athletics, including athletic administration, athletic training, intercollegiate teams, and ancillary fundraising accounts; provides related budget recordkeeping, prepares purchase orders and personnel requisitions; monitors expenditures, and prepares related reports.

Makes travel arrangements for department personnel and intercollegiate teams, including travel requests and reservations for accommodations, meal plans, travel rosters, etc.

Assists with development of the annual Program Review; composes and prepares correspondence; arranges and schedules meetings and appointments; prepares agendas for meetings; attends meetings; takes, transcribes and distributes meeting notes.

Maintains records and files; establishes and maintains filing systems; orders, receives and maintains an inventory of office supplies and other materials; opens and distributes mail.

Operates a variety of office equipment including a computers and related Microsoft Office software, calculator, copier, etc.

As assigned, may train and provide work direction to others, attend workshops, perform other related duties.

SALARY AND BENEFITS:
The monthly salary range is $3,559-$4,451 over five years. Twelve days of vacation leave and sick leave are earned each year. Vacation leave increases with the length of service. Family medical, dental, and vision benefits and employee life insurance are provided. There are 20 paid holidays annually.
