ADMISSIONS AND RECORDS SPECIALIST (2 positions)
40 hours/week, 12 months/year

BASIC FUNCTION:
Under direction of the Director of Admissions and Records, works within departmental regulations to perform confidential clerical and specialized duties related to the admissions and registration of students including residence determination and records maintenance; serves as the initial and primary customer service contact for the general public; performs related duties as required.

REPRESENTATIVE DUTIES:
Understands and implements Title 5 regulations regarding a student’s right to privacy and the accuracy and retention of academic records (FERPA-the Family Educational Rights and Privacy Act of 1974).

Interacts directly with the general public, students, faculty and staff to communicate and interpret college academic policy; explains District regulations, policies and procedures related to Admissions and Records; provides primary assistance with Web Advisor Help Desk telephone calls.

Receives and processes applications for admission; determines residency for tuition purposes; maintains online application processes including communication with students regarding residency determination, exceptions and other admission requirements.

Processes K-12 special admissions and enrollments; processes special group enrollments and coordinates payments with Fiscal Services; performs general registration and other online transactions including adding/dropping courses and changing credit statuses.

Invoices and collects fees for enrollments, transcript production, credit by exams and ASMC stickers; ensures for Fiscal Services that fees are accurately collected, posted and reconciled for deposit.

Evaluates and clears prerequisite equivalencies; receives, posts and images incoming transcripts; maintains student files using document imaging system and indexing procedures.

Provides guidance and training to Center staff regarding Admissions and Records processes and functions including admissions, registration, residency determination and exceptions, the student record system, document imaging system and online services.

Collects and corrects student demographic data, including Student Data Change Forms for accurate State FTES and MIS reporting and for Federal reporting through the National Student Clearinghouse submissions.

Receives and monitors student transcript requests; produces, reviews for accuracy, and validates all outgoing transcripts and enrollment verifications; processes student requests for General Education certification; assists with implementation of the electronic transcript process; monitors and maintains electronic transcript process once implemented.

Processes student petitions to include Overlap of Classes documentation and Academic Review Petitions; assists with graduation application processing.

Scans and images student records and related documents.

Provides veteran educational benefits program information to veterans and eligible veteran dependent students and international students.

May place and remove admissions/registration holds.

May supervise and train student assistants and part-time temporary employees.

Assists with commencement and other special events planning and preparation activities regarding the ceremony, facility use, decorating, set up, communications, and program development.

Assists with student recruitment activities including participating in community outreach efforts, events, and special off-campus and on-site registration services, etc.

Performs a variety of support functions such as typing, mailing information, receiving and distributing mail; receives and screens visitors and telephone calls, refers to others as appropriate; takes and forwards messages.

Operates a variety of office equipment including a desktop computer and related software, calculator, copier, fax, scanner, telephone and others as applicable; secures the office and equipment properly.

Attends meetings and workshops as directed.

Performs related duties as assigned.

QUALIFICATIONS:
Knowledge of:
Personal computer software programs, including data entry and word processing; statistical recordkeeping principles and procedures; modern office methods and equipment including computerized and manual records systems; proper English usage, grammar, spelling, punctuation, vocabulary, and basic arithmetic; effective verbal and written communication skills; interpersonal skills using tact, patience, and courtesy; proper telephone and reception techniques and etiquette; techniques in training and supervising student workers.

Ability to: Capably perform admissions and records responsibilities; interpret, apply and communicate the rules, regulations and policies of the Admissions and Records Office; assist students in the admissions and registration process; tactfully and courteously work with the public to answer questions in person, in writing, or by telephone; understand and carry out oral and written directions; work independently with little direction; meet schedules and timelines; compose letters and write reports; operate a personal computer and use related software; accurately enter data into a computer database; operate a variety of office equipment including a calculator, copier, fax, scanner, cash register and others as applicable; supervise student workers; maintain cooperative working relationships; demonstrate sensitivity to, and respect for, a diverse population.

Working Conditions: Office environment; subject to constant interruptions and distractions; work independently during evening hours; sitting for extended periods of time, reaching, bending, walking and occasional light lifting (up to 15 lbs).

SALARY AND BENEFITS:
The monthly salary range is $3,559-$4,451 over five years. Twelve days of vacation leave and sick leave are earned each year. Vacation leave increases with the length of service. Family medical, dental, and vision benefits and employee life insurance are provided. There are 20 paid holidays annually.
